Conference Safety FAQs

While we are thrilled to once again be able to hold live, in-person conferences and events, the safety and well-being of our attendees remains Chartwell’s top priority. Frequently Asked Questions:

  • What safety measures are you taking onsite to provide a safe environment?

    During the conference and all conference events, staff, attendees, speakers, and exhibitors will be required to follow current local safety measures.

  • What will be required to attend the conference?

     

    At Chartwell, the safety and well-being of our staff, attendees, speakers, and exhibitors is our top priory. It is therefore Chartwell’s policy that all attending the conference, in any capacity, must be fully vaccinated for COVID-19 or receive a negative COVID-19 test within 72 hours of conference kickoff.

  • What do you accept as proof of full vaccination?

    As defined by the CDC, a person is “considered fully vaccinated two weeks after their second dose in a two-shot series, such as the Pfizer-BioNTech or Moderna vaccines, or two weeks after a single-dose vaccine, such as the J&J/Janssen vaccine.”  At this time, a booster is not mandatory to attend.

     

    Chartwell will accept a photo or physical documentation of the following as proof of vaccination:

    1. A CDC or Provincial-issued vaccination card (if providing a photo, front and back are required).

    2. A document of vaccination from a licensed healthcare provider – either a photo of a physical record or digital record.

  • What do you accept as proof of a negative COVID-19 test?

    Chartwell will accept documentation (or photo of) a negative result of a PCR or antigen COVID-19 test collected by a laboratory or healthcare provider within 72 hours of conference kickoff. This document must display name and date of test administration. No at-home tests will be accepted.

  • How do I submit my COVID-19 documents so that I may attend?

    Attendees, speakers, and exhibitors must upload one of the aforementioned documents via the EMACS Conference App no later than Saturday, October 16th. Instructions on uploading via the EMACS Conference App are forthcoming.

  • If I forget my documents or do not have them when I check in, what can I expect?

    Attendees, speakers, and exhibitors without the required documents will be denied entry until approved proof of a negative COVID-19 test or vaccination card can be provided to Chartwell staff. There will be no refunds if any attendee, speaker, or exhibitor is denied entry due to lack of proof of vaccine or negative test.

     

    The following locations may be able to provide local rapid testing. Please contact for pricing and details. Chartwell has no affiliation with these locations and will not be held responsible for their actions, pricing, or standards. COVID-19 testing cost is at the expense of the attendee.
